The General Data Protection Regulation (GDPR) 

The General Data Protection Regulation (GDPR) sets specific obligations between the Data Controller and the Data Processor. With respect to customers who use TeachKloud as a childcare/early years/after school management system: The customers using this platform are Data Controllers and TeachKloud is a Data Processor respectively as per the GDPR Regulation.

Rights of the data subject:

While TeachKloud is the Data Processor and may assist the Data Controllers by providing appropriate technical and organisational measures to them in order for Data Controllers to respond to data subject requests, Data Controllers are responsible for managing and controlling the personal data of their respective clients (data subjects).

As Data Controllers, TeachKloud’s customers are exclusively responsible for overall compliance with data protection regulations as it relates to Data Controllers.

TeachKloud is not legally responsible in responding to any SAR (Subject Access Requests) from data subjects of Data Controllers.

The Data Controllers i.e. the customers of TeachKloud are using our childcare management system on a subscription basis and must take all reasonable steps to demonstrate compliance and accountability to the General Data Protection Regulation (GDPR).

Where is my information stored and how secure is it?

Your protection, security and peace of mind is our highest priority! TeachKloud is hosted on DigitalOcean. They have thousands of active users and serve top governmental organisations who trust them with some of their most sensitive information. TeachKloud will never use your information of commercial purposes or sell it to third parties. We also provide frequent updates, providing you with the latest technology with no interruptions to you or your service.

 TeachKloud uses Stripe to process Subscription and billing. TeachKloud does not directly collect or store any payment information. Stripe is a signatory to the EU-US Privacy Shield.  Read more on Stripe and TeachKloud

Is my information private and who has access to it?

To access TeachKloud a user must be invited and confirmed by the administrator who is normally the owner or manager of the early years setting. When information is shared with parents or caregivers, only the parent it was shared with has access to that information. The administrator can review, control, delete and decide what information is uploaded and who has access to it. Passwords used to access TeachKloud are all encrypted. 

TeachKloud also has an SSL Certificate. SSL keeps sensitive information sent online encrypted, so that only the intended recipient can understand it. In addition to encryption, an SSL Certificate also provides authentication. This means you can be sure that you are sending information to the right person! When using TeachKloud, your web browsers will give you a visual cue, such as a lock icon or a green bar, to make sure that you know your connection is secure. Here at TeachKloud, we take your data protection and security extremely seriously. 

Retention and Your Rights

When a child graduates, you can archive a child's information and keep their data as a read only file OR you can also delete this information at any time. You own your data and can delete it or move it at any time.


TeachKloud uses Sendgrid and Mailchimp to process emails which you an unsubscribe from at anytime by selecting the "unsuscribe" button at the bottom of any email and/or emailing us directly:
